Understanding the Dashboard's capabilities
Reports
The Reports page gives educators a clear view of how students are engaging with Level All, so they can measure adoption, spot students who need a nudge, and see which content is resonating. It’s organized into two tabs—Activity and Content—and both share the same set of filters: scope by group, graduation year, or time range (default: Last 30 Days), or flip on My Students to see only your own caseload.
Activity
The Activity tab focuses on who is using the platform. Summary cards show your active students (those who logged in during the selected time frame), the “activated” rate (the percentage who completed onboarding), and average time spent—a quick pulse on adoption and engagement depth. Student Engagement ranks students by total time spent, with a Least Engaged view that helps you catch students at risk of disengaging. Sessions by User Type breaks down session frequency and duration across students, educators, and guardians.Content
The Content tab focuses on what students are engaging with. Most Popular Categories surfaces the content areas your students are gravitating toward, and the Content Engagement table breaks down usage at the individual content level—toggle between Projects and Journeys, filter by category, or search by title. For each piece of content, you’ll see average time spent, students currently learning, completions, and total views, giving you a clear picture of both reach and follow-through.
Groups
Groups let educators organize students into meaningful cohorts—a class roster, an advisory caseload, or a custom cohort—so they can assign content, assign Plans, and track progress.
Group types
Enrollment groups—Created automatically from class data imported from your school’s Student Information System (SIS). Membership stays in sync with your official rosters and can't be edited in Level All.
Static groups—Built by hand. You choose exactly which students belong, making these ideal for custom cohorts that don't map to a class.
Criteria-based groups—Membership is defined by a set of criteria, and students who match are added automatically—so the group stays current as your student population changes.
Working with groups
The Groups page shows all of your groups, with tabs to view My Groups, All Groups, or Hidden Groups, plus search and sort.
Open any group to see its Members, assign content and track progress in Assignments, and assign Plans and monitor plan progress in the Plans tab.
Students can be added to a group in two ways: from within the group itself using Add Members, or from the Directory page by selecting students and adding them to a group.
Leveraging Documents for student work
Accessing student documents
The Documents functionality allows students to upload important materials and work they’ve generated through Level All for your review. This feature is available by request only, and must be enabled by the Level All team. Contact your success manager if you’re interested in activating it for your organization.
Students access this feature as My Documents in their Settings page. They can upload individual files that meet specific size and file type requirements. As an educator, you can view Documents that your students upload in the Dashboard by navigating to the Documents page, or an individual Group, or by clicking on an individual student. You can download documents directly to your computer, either individually or collectively as a .zip file.
Directory
The Directory is where you view and manage everyone in your organization—students and educators alike. Use it to see who’s active, who’s still pending, and to understand each person’s role.
Student Directory
To view all students in your organization, go to Directory > Students. Use the Active and Pending filters to narrow the list: Active students have created their Level All account, while Pending students have been invited but haven’t yet finished setting up. Educators are automatically assigned to their students based on class enrollments synced from your school’s SIS, so your roster reflects your official class data.
Educator Directory
The Educator section works similarly. Each educator's role is displayed, so you can quickly identify your organization's administrators.
Adding and removing users
User accounts are managed through Edlink, a rostering platform trusted by thousands of K–12 districts for secure directory syncing. Edlink keeps your directory in sync with your school or organization's official records and supports three connection methods: a direct integration with your SIS, SFTP, or CSV uploads. Because your directory reflects this synced data, adding or removing users happens through your Edlink connection rather than manually in the dashboard. If your organization hasn’t set up Edlink yet, reach out to your success manager to get started.
Your organization can also add users with an onboarding link—a simple shareable link that lets students or educators join without an individual invitation. Reach out to your success manager to request one.
Someone missing from your Directory?
If a user isn’t appearing in your directory, the most common cause is that they're missing from your synced enrollment data. Check that the user is included in your SIS or most recent CSV upload, and contact your success manager if you need help troubleshooting your Edlink connection.
Roles and permissions
Roles are assigned automatically based on your Edlink data. If an educator needs more access, an administrator can select them in the Directory and grant them admin permissions.
Here is a breakdown of the different roles we offer and each role's capabilities:
Admin
An admin can manage staff accounts, class groups, and school settings. An admin can see every student record at their school or district, not only students in their own classes. An admin can also give roles to other staff members. An admin has full control over student plans, such as a graduation or course plan: they can create, approve, or override an approval on one. When a district gives this role to a person, it applies to every school under that district too. This spread of permission is called a cascade, and the next section explains it.
Counselor
A counselor can see and act on every student record at their school, the same broad reach as an admin. A counselor does not need to share a class with a student to see or update that student's record or plan. Unlike an admin, a counselor cannot manage staff accounts or change school-wide settings.
Educator
An educator can see the records of only the students in their own classes. An educator cannot see the records of students they do not teach. An educator can manage their own class groups and assign plans or work to their own students, but not to other classes.
Viewer
A viewer can look at student records, but cannot change anything. Like an admin, a viewer's grant can cascade down to every school under a district. A viewer with a district-level grant can therefore see every student record in the district.
How permission spreads across a district (cascade)
Two roles, Admin and Viewer, can cascade. A cascading role given at the district level applies automatically to every school under that district. A grant at a single school does not cascade, and a grant of the Counselor or Educator role never cascades.
WARNING: Making someone an Admin or Viewer at a district gives that person access to every school under the district. Give this role only to a person who needs district-wide reach.
